EPF — Provident Fund

Auto-calculation of employee (8%) and employer (12%) contributions. Monthly C Form generation. Late-payment surcharge tracking. EPF number lookup and validation.

Submission: Direct file generation in EPF Department's required format, ready for upload via the e-EPF portal.

ETF — Trust Fund

3% employer contribution auto-calculated and reported. Monthly contribution file generation. Member number tracking. Reconciliation reports for finance.

Coverage: All employees subject to ETF Act No. 46 of 1980, with eligibility logic built in.

PAYE — Tax

Current and prior year tax tables maintained by us, not you. Tax-free thresholds, stepped rates, withholding for non-residents. Auto-recalculation when allowances or salary structure changes.

Updated: When the IRD changes the tax structure, the tables update for you. No software upgrade, no consulting fee.

Gratuity

Calculated under the Payment of Gratuity Act No. 12 of 1983 — half month's salary per year of service for employees with five or more years' service. Liability tracked as a provision, paid out on exit.

Eligibility: Auto-tracked. Companies with 15+ employees, eligible workers, correct calculation method per service period.

Shop & Office Act-aligned leave

Annual leave (14 days), casual leave (7 days), maternity leave (84 working days), public holidays per the gazette. Leave entitlements pro-rated for joiners and leavers.

Coverage: Shop and Office Employees Act No. 19 of 1954, with provincial variation handling.

IRD bulk submission

Generate the IRD's bulk submission file format directly. Annual statements of remuneration (SOAR), withholding tax certificates, statement of remuneration paid (SRP) — all formatted to spec.

Outputs: SOAR, SRP, WHT certificates, and the relevant T-forms in IRD-accepted format.
Salary disbursement

Direct integration with the banks you actually use.

The last mile of payroll is the bank file. Most generic HR platforms generate a CSV and leave you to wrestle it into your bank's portal — manually fixing column orders, account number formats and reference codes for every run.

What Sri Lankan HR teams ask before they switch

Where is our payroll data hosted?

For Sri Lankan customers, data is hosted on infrastructure with full encryption in transit and at rest. For regulated institutions requiring in-country data residency, we offer a Sri Lanka-hosted instance — speak to our team for the technical and compliance documentation.

What happens when the IRD changes the PAYE rates?

The tax tables update for you. You do not download a patch, pay for a software upgrade or call a consultant. Within a few business days of the IRD's announcement, the new rates are in production. Your next pay run uses them.

Can it handle our factory's Sinhala-only workforce?

Yes. The employee mobile app supports Sinhala, Tamil and English. Each employee picks their preferred language on first login. Payslips, leave requests, attendance, claims and announcements all render in their chosen language. The HR-facing admin console is in English.

How do you handle EPF and ETF submissions?

The system generates the C Form (EPF) and ETF contribution file in the exact format the EPF Department and ETF Board expect. You log in to the e-EPF portal and upload — five minutes, not five hours. Payment is then made through your bank as usual.

What about multi-location businesses with regional offices?

Set up each location as a branch under your main entity. Centralised HR with location-specific managers, attendance, and reports. Leave policies and public holidays can vary by location. Particularly useful for retail chains, manufacturing groups and microfinance networks.

Is implementation only available in Colombo?

Most kick-offs and training sessions are run from Colombo, but our implementation team travels — we have set up Gallery HR for businesses in Kandy, Galle, Kurunegala, Anuradhapura and Jaffna, with a mix of on-site and remote delivery depending on what works for the customer.

Do you support service charge distribution for hospitality?

Yes, including the standard 10% service charge model — distribution rules by department, role, points or hours, with full transparency for staff and a clean audit trail for the General Manager.
